ERPNext and tax compliance in Kenya, built where the rules are written
CoaleTech is headquartered in Nairobi. Our eTIMS integration signs invoices in real time, our payroll engine computes every Kenyan statutory deduction, and our clients pass audits with the paper trails already in place.
The eTIMS mandate
KRA eTIMS requires real-time electronic tax invoices, and expense deductibility is tied to eTIMS-registered invoices.
All businesses, including non-VAT registered, required on eTIMS for expense deductibility
SourceInput-VAT rules tighten further: unverified supplier invoices put deductions at risk
SourceInput VAT depends on your software
Purchase invoices must be eTIMS-verified to protect input VAT and expense deductibility. Coale Tax blocks payment on unverified supplier invoices before the money leaves your account.
How CoaleTech helps
Built for Kenya, delivered from Nairobi
Statutory payroll bodies we compute for
Deductions are computed on every Salary Slip by the Payroll Africa statutory engine. Country rate tables with worked examples are published as they are verified against current legislation.
Payment rails we integrate
Collections reconcile to Payment Entries in the ledger, not to a side spreadsheet.
Proof, not promises
Kimzone Autospares
A Nairobi retailer unified 35,000+ SKUs with M-Pesa C2B auto-reconciliation and fiscal receipts on every sale.

Is ERPNext compliant with KRA eTIMS?
Yes. Coale Tax signs every sales invoice with KRA eTIMS in real time on submit, stores the receipt signature and control-unit timestamps, and prints the fiscal QR code on both A4 invoices and thermal POS receipts. Failed submissions queue and retry automatically, so receipts are not lost when the KRA server is down.
How do I protect input VAT on purchases?
Coale Tax verifies purchase invoices against KRA before payment. Payment Entry submission is blocked on an unverified invoice, with a logged and authorised manual override. That protects deductibility before the money leaves your account rather than at filing time.
Does the payroll cover NSSF tiers, SHIF and the housing levy?
Yes. Payroll Africa computes PAYE, NSSF tier contributions, SHIF and the Affordable Housing Levy natively inside Frappe HR Salary Slips. Rates live in settings, not code, so statutory changes apply the same day without redeployment.
How long does an ERPNext implementation take in Kenya?
SME implementations typically go live in 4 to 8 weeks. Timelines depend on data migration scope, the number of branches, and fiscal-device onboarding. We publish our packages on the pricing page and scope every project with a statement of work.
