Maabara
From barcode to billed, authorized result, on one platform
Maabara is a finance-first Laboratory Information System built natively on the Frappe framework and ERPNext for diagnostic labs in Kenya and across Africa. It runs the full diagnostic lifecycle: barcode sample collection, pre-analytical quality gates, instrument result capture, deterministic flagging, and governed result authorization. It then closes the commercial loop with automatic invoicing, M-Pesa collection, KRA eTIMS transmission, SHA and insurance claims, and statutory MOH/KHIS reporting. A governed on-premise Ollama AI reviewer cross-checks the lab's own rule engine without ever overriding the computed result.
Barcode to billed result
Key capabilities
Sample-to-Result Barcode Spine
Every specimen gets a unique barcode accession number with configurable label printing, container and storage-location tracking, and receipt capture. A submittable sample lifecycle (Pending → Collected → Received → Rejected) replaces handwritten tubes with an audit-ready chain of custody, so no specimen is ever lost or mislabelled.
Pre-Analytical Quality Gates
Configurable pre-analytical checklists record a checklist-passed flag and can optionally block progression when a specimen is compromised. Rejecting bad samples early cuts redraws and keeps unreliable results out of the workflow before any test runs.
TAT & SLA Engine
A priority-weighted turnaround engine (STAT, Urgent, Routine) computes SLA deadlines and a daily scheduler flags breached orders automatically. Labs protect their reputation by meeting STAT and Urgent commitments with proactive breach alerts instead of silent delays.
Deterministic Flagging & Governed Authorization
A rule-based engine computes result flags (Normal, Abnormal, High, Low, Critical) with worst-child rollup, and a governed authorization workflow stops any result from being released until it is explicitly signed off. Result status moves through Pending → Resulted → Authorized with full traceability.
Governed On-Premise AI Reviewer
A deterministic Ollama reviewer runs locally at temperature 0.0 against a fixed JSON schema. No patient data leaves for third-party LLM APIs. It detects critical values and cross-checks the lab's rule engine as a second safety net, but never overwrites the computed flag. AI you can put in front of an auditor.
Automatic Billing, M-Pesa & KRA eTIMS
Each lab order auto-creates and submits an idempotent, savepoint-safe Sales Invoice, with zero-total invoices logged rather than silently accepted. M-Pesa STK push collects at the point of care and reconciles into a Payment Entry, while invoices transmit to KRA eTIMS on submission, all without stopping the clinical flow.
Insurance & SHA Claims
Structured insurance schemes, coverage rules, and pre-authorization drive correct split billing across cash, insurance, and SHA at order time. Patient-portion (co-pay) invoicing and claim batching speed reimbursement and remove the friction of manual claim preparation.
MOH/KHIS Reporting & FHIR Interoperability
Authorized-only, age-banded KHIS/DHIS2 aggregation for notifiable conditions turns statutory MOH reporting into exports instead of spreadsheets. FHIR R4 DiagnosticReport and Observation bundles, plus inbound analyzer message ingestion, let Maabara interoperate with EMRs and lab instruments.
Why teams choose this
- Eliminate unbilled tests with automatic, idempotent invoicing and zero-total detection
- Convert cash faster with M-Pesa STK collection that reconciles into ERPNext Payment Entries
- Stay compliant by default with KRA eTIMS transmission and statutory MOH/KHIS reporting built in
- Reduce clinical errors with deterministic flagging, governed authorization, and an AI cross-check
- Protect turnaround commitments with a priority-weighted TAT engine and automatic breach alerts
- Keep patient data on-premise with a deterministic Ollama reviewer that never calls external LLMs
- Bill correctly across cash, insurance, and SHA with coverage rules, pre-auth, and co-pay invoicing
- Trace every specimen from barcode accession to authorized, signed result with a full audit trail
