Journey Management

Govern every high-risk journey before it begins

Journey Management is an ISO 31030-aligned travel risk management and duty-of-care platform built natively on the Frappe framework and ERPNext. It replaces spreadsheets and WhatsApp groups with one controlled system for the full journey lifecycle: plan, assess risk, treat risk, approve by the right authority, track, respond, and review. Every Journey Plan is automatically risk-scored from destination and traveller profiles using a deterministic, explainable engine, then routed for approval whose authority rises with the risk. Once approved, travellers check in from a mobile portal while geofence breaches, SOS triggers, and overdue check-ins raise alerts automatically. Submittable, change-tracked records and a compliance dashboard give executives audit-ready assurance.

Key capabilities

Risk-Scored Journey Plan

Submitting a Journey Plan auto-creates a Risk Assessment, computing an overall rating from destination sub-scores (stability, security, crime, health, natural disaster, and inverted infrastructure) combined with the highest-risk traveller threat profile. Scores come from configurable, explainable weights. A defensible go/no-go basis, not a black box.

Risk-Tiered Approval Workflow

A seven-state approval workflow escalates authority with risk: a Journey Manager approves Low and Moderate journeys, a TRM Manager approves Medium, and Security and Executive sign off High and Extreme. Reject and cancel paths are codified, so the right person always signs off and no journey proceeds without a score and correct escalation.

Scheduled Check-Ins & Geofence Breach Detection

Travellers check in with latitude and longitude on an Hourly, 4-hourly, Daily, or custom cadence. Each check-in is validated against defined Geofence Zones using haversine distance, giving operations early warning of route deviation and continuous, simple proof-of-life for travellers in the field.

Overdue Check-In Escalation & SOS

A cron runs every 15 minutes to detect overdue check-ins, applying a grace period before notifying and escalating through tiers, so nobody goes silent unnoticed. A one-tap SOS trigger sends location and message for rapid emergency mobilisation, backed by Twilio SMS and Firebase push notifications.

Incident Management & Post-Journey Review

Structured Incident Reports follow a workflow from Open to Closed with an escalation path, capturing consistent response and lessons learned. On journey completion, a post-journey review task is created automatically, closing the ISO 31030 loop from plan through to debrief.

TRM Command Center & Compliance Dashboard

A Travel Risk Management Command Center renders active journeys and last-known locations on a Google Maps view. A single pane of glass for security operations. A Compliance Dashboard surfaces HSE KPIs, including monthly incident trends, for board-level duty-of-care assurance.

Mobile Traveller Portal

A Vue 3 and frappe-ui single-page portal at /journeyguard gives travellers a mobile-friendly view of their journeys plus check-in, SOS, briefing acknowledgement, emergency contacts, and profile management. Field-usable UX travellers actually adopt on any device.

Seven Risk & Compliance Reports

Built-in reports cover journey risk summary, destination risk trends, traveller exposure, incident analysis, overdue check-ins, vendor performance, and training compliance, turning operations into analytics. An extensible risk-intelligence adapter lets you swap in third-party threat feeds without a rebuild.

Why teams choose this

  • No journey proceeds without a risk score and correctly escalated authority sign-off
  • If a traveller goes quiet, the 15-minute overdue-check-in watchdog raises the alarm automatically
  • Defend duty-of-care with submittable, change-tracked records and a compliance KPI dashboard
  • Apply one deterministic, explainable scoring model to every trip to remove assessor bias
  • See everyone in the field on one live map through the TRM Command Center
  • Reuse ERPNext Customer and Employee master data instead of duplicating traveller records
  • Respond to emergencies faster with one-tap SOS plus Twilio SMS and Firebase push alerts
  • Cut administrative effort with auto-titling, auto risk assessment, and auto review tasks
