The Challenge
- The audit trail was limited to transaction logs with no risk scoring, anomaly detection, or finding management, so internal audit was conducted annually and issues were discovered months too late.
- Audit findings were tracked in spreadsheets with no systematic follow-through, no assignment of responsible parties, and no closure tracking.
- Management had no real-time visibility into financial risks, compliance gaps, or operational anomalies across production and finance.
- The period close workflow lacked task dependencies and validation rules, so month-end close took 8–10 days with manual reconciliations, missing journal entries, and repeated back-and-forth between departments.
- Transactions were posted to closed periods by mistake, corrupting prior-period financials and requiring complex reversals.
- ESG and environmental compliance reporting was assembled manually once a year, with no systematic tracking of metrics or regulatory alignment.
- Different plants used different reporting formats, making consolidated risk assessment and cross-location benchmarking impossible.
The Solution
- Deployed Coale-Audit for comprehensive audit management: audit engagements, findings with severity classification, corrective action plans with milestones, working papers with evidence attachments, risk assessments with quantitative scoring, and compliance checks with automated deviation flagging.
- Implemented 6 specialized AI audit agents running continuously: Financial Agent (fraud detection, Benford's Law, duplicate payment checks), Risk Agent (predictive exposure scoring), Compliance Agent (regulatory verification), Discovery Agent (doctype cataloging), Notification Agent (alert aggregation), and Asset Agent (fixed asset auditing).
- Connected Coale-Audit to ERPNext GL Entry, Journal Entry, Sales Invoice, Purchase Invoice, and Payment Entry via doc_events — every transaction automatically creates an immutable audit trail entry with before/after values.
- Deployed Frappe Insights v3.0 with 12 intelligence dashboards: Executive, Sales, Financial, Strategic Finance (13-week cash flow), Inventory, Procurement, Risk, HR, Manufacturing, Tax (Kenya-specific), and ESG sustainability dashboards — each with a floating AI chat button for natural language queries.
- Enabled 17 domain-specific AI agents in Insights for conversational BI: ask 'What was our gross margin last quarter?' and the Sales Agent queries live ERPNext data, builds the chart, and returns the answer with context.
- Activated ML analytics modules: Prophet time-series forecasting for sales, IsolationForest anomaly detection for inventory, RFM customer segmentation, ABC-XYZ 9-cell inventory strategy, and BG/NBD customer lifetime value.
- Implemented Coale Finance for automated period close management: period locking blocks all transactions to closed periods, close task workflows with dependencies and SLAs, checklist templates for month-end procedures, validation rules that run before period can be closed, and auto-lock after approval.
- Set up scheduled tasks: daily reconciliation and compliance checks, hourly data sync and agent health checks, weekly comprehensive audits, and quarterly agent runs for deep-dive analysis.
